New at Kolab, sent email and total access

Hi!I'm Alberto Giuffrida, and I'm a co-founder of a small start-up company
I'm using Kolab for one month and I'm pretty new at this, sorry if I'm asking for something of common knowledge
Thanks for having created such a all-in-one easy to configure package, it worked flawlessly since the first day after that fateful "setup-kolab" command
As this system is for a small company, I need to know two things, and I'm humbling asking help from someone more expert than me.
1)Sending from external clients via SSMTP (like GMAIL) sometimes don't save the sent email in the sent folder. There is a way to ensure those email are saved in the sent folder?
2)Can an admin access to a mailbox inside the system? Our policy is to use emails only for work-related things, and the "power" to read the other mailbox would be used only in extreme situation, but I need to know how to do this in emergence cases. I know I can modify the password via the webadmin and then read, but I need a more "transparent" solution.As an admin, I can access the machine were Kolab is installed.
