Not knowing whether you have already, you might want to have a look at a
default next-next-finish installation of Kolab Groupware, especially
concerning;

- The web administration panel,
- The default Cyrus IMAP settings

It is relatively easy to change the canonical mailbox names that Kolab
Groupware uses by default (a change of "result_attribute" in /etc/imapd.conf,
/etc/kolab/kolab.conf, /etc/roundcubemail/kolab_auth.inc.php and
/etc/postfix/ldap/*.cf lookup table configurations, from the top of my head),
and change or disable the recipient policy[1] to reflect related changes.

Naturally, there is or has been one or more reasons to have grown a user
management solution yourself in the first place, but what might be worthwhile
exploring is 1) whether a standard installation, noted a few tweaks left and
right might be appropriate for your deployment, could work for you, and/or 2)
what it is that would not work for you.

I reckon that, because of the annotation issues you find yourself dealing
with, your IMAP server is running a version of Cyrus IMAP that is simply
outdated. Upgrading to a currently supported version of Cyrus IMAP might not
only be mandated / necessary for Kolab Groupware, but strongly recommended
from other perspectives as well.

Kind regards,
