Is that the imap sync taking time or the freebusy creation?

Please first try to increase the number of kolab filters allowed to run
concurrently. Edit /kolab/etc/kolab/templates/master.cf.template and
replace the number 1 in the lines starting with kolabfilter and
kolabmailboxfilter with something larger (for example 100, or 0 to use
the global default, which is 100).
After editing the template, remember to run /kolab/sbin/kolabconf.
