That is called kolab recipient policy, and it is supposed to work for large 
organization, making any users email address correspond to certain email 
address convention, making email address guessable, so to say.

First of all, the idea of groupware is to have personalized emails, meaning 
that email account is used by human being, not by robot. That said I think you 
should reconsider creating email account, which is not personal. You can 
create latter assign generic email addresses to a specific person account or 
make a shared folder latter. IMO - the accounts shoudl be personalized.

If you wan to change the rules the new account is created, you should look at  
/usr/share/doc/kolab-webadmin-*
There are sample php scripts, which changes which LDAP attributes are 
mandatory, which are autogenerated. Look for documentation in doc.kolab.org 
for user_types. You should copy the sample script to /usr/share/kolab-
webadmin, adjust it and run to make changes in admin database. kolab.conf 
primary_mail and secondary_mail options are the rules, how these LDAP 
attributes should be generated. THere is also policy_uid option in kolab.conf, 
which can change how UID attribute is generated. You can also look at Settings 
tab in WAP, select your user type and change the values of which attributes 
(form fields) are required and etc.
